Overview

Auto Glass Force is a multi-location auto glass repair and replacement company operating across San Jose, Hayward, and Concord, California. Afrixh deployed a self-hosted Odoo 19 Enterprise platform to bring scheduling, inventory, insurance claims, and accounting into a single system.

Key Issues Identified

Auto Glass Force operated across three locations (San Jose, Hayward, and Concord) with no unified system. Scheduling was managed entirely over WhatsApp, making it impossible to track jobs, avoid double-bookings, or give technicians a clear view of their day.

Accounting lived in QuickBooks, completely disconnected from daily operations. Inventory across three warehouses was tracked from memory with no part-reservation system, and insurance claims, a major revenue source, were managed in spreadsheets with no connection to billing.

The team spent hours every day juggling disconnected tools instead of serving customers.

Strategic Recommendations

We deployed Odoo 19 Enterprise, self-hosted on the client's VPS, across six integrated modules: CRM, Sales, Field Service, Inventory, Purchasing, and Accounting.

A custom quote calculator was built with VIN lookup, automatic tax applied only to parts, labour rates by service type and location, and ADAS calibration fees. WhatsApp scheduling was fully replaced with a visual drag-and-drop calendar.

Technicians now manage jobs, checklists, photos, e-signatures, and on-site payments from any mobile browser, with no app required. QuickBooks was retired with a complete data migration at go-live.

WhatsApp was retired on go-live day. Parts are now auto-reserved the moment a job is booked and released automatically on cancellation.

Insurance claims follow a defined workflow from submission through to payment, and month-end accounting now runs entirely inside Odoo.
